How RTOs Should Manage Trainer Professional Development Records
Good record-keeping for trainer PD is not just a compliance requirement — it supports better workforce management.
Maintaining accurate, complete and current records of trainer professional development is a core compliance obligation for RTOs under the Standards for RTOs 2015. It is also a practical workforce management tool — knowing what your trainers have done, what currency they hold and what gaps exist helps RTOs plan effectively and respond proactively to audit or operational requirements.
What records RTOs should maintain for each trainer
For every trainer and assessor on the RTO's register, the following records should be current and accessible:
- Current qualification certificates — TAE40122 (or equivalent), plus vocational qualifications relevant to the training products they deliver
- Statements of Attainment for any upgrade units or additional credentials
- Professional development register — a record of all PD activities completed, including dates, providers and relevance to the trainer's practice
- Evidence of vocational currency — documentation of industry engagement, employment, site visits or other currency activities
- Participation in assessment validation — records of when the trainer participated in validation, what was reviewed and what outcomes were recorded
How to structure a trainer register
A trainer register does not need to be complex, but it does need to be systematic. A simple approach is to maintain a file for each trainer — physical or digital — containing:
- A qualification summary sheet listing all current credentials with issue dates
- A professional development log updated at least annually
- A currency evidence file containing the supporting documentation for vocational and training and assessment currency claims
Common record-keeping failures
- Qualification certificates are on file but PD records are incomplete or missing
- PD records list activities but do not document how they relate to the trainer's practice
- Records have not been updated to reflect recent activities — the register reflects where the trainer was twelve months ago, not today
- Validation participation is recorded but outcomes and improvement actions are not documented
